Privacy policy

Effective 25 September 2026. Ontolix Pty Ltd ("Ontolix", "we") provides a construction information platform and related website. This policy explains how we handle personal information, including when an organisation connects Microsoft 365 to Ontolix.

What we collect

We may collect names, work contact details, account identifiers, sign-in and audit records, support requests, and information an organisation authorises us to read from connected services. Depending on what its administrator selects, that information may include document contents and metadata, mailbox messages and attachments, calendar entries, and Teams channel or chat messages. Those sources can contain personal information about people other than the administrator.

How we collect and use it

We collect information directly from you, from your organisation, and from services your organisation connects. We use it to authenticate users, operate and secure the platform, retrieve approved project information, create searchable records and relationships, answer authorised questions with source references, provide support, and meet legal obligations.

Who can access it

Your organisation controls which sources are connected and which people can use its Ontolix workspace. We may disclose information to service providers that host, process, secure, or support the platform, and to authorities when required by law. We do not sell connected content. Access to a connected source can be withdrawn by disconnecting it or changing the permissions granted in the source service.

Storage, security and location

We use access controls, encryption and audit records to protect information. The platform uses cloud infrastructure in Australia; some service providers or processing paths may involve locations outside Australia. Our sub-processor list names each service provider that processes customer data, what it receives and where. Our question record retention notice explains how long we keep questions, answers and conversation history. We retain information while needed to provide the service and meet legal or contractual obligations, then delete or de-identify it in accordance with those obligations. No internet service can guarantee absolute security.

Your choices and rights

Contact your organisation's Ontolix administrator for access to or correction of information held in its workspace. You can also contact us to request access or correction, ask how information is handled, or make a privacy complaint. We will investigate and respond. If you are dissatisfied with our response, you may contact the Office of the Australian Information Commissioner.

Contact and updates

Email support@ontolix.ai with privacy questions or complaints. We may update this policy as the service changes; the current version and effective date will appear on this page.
